It's not a choice

Plenty of good SEO work runs on a spreadsheet, and plenty of teams with expensive tools do worse work than someone disciplined with a Google Sheet. So the question isn't which one — it's which parts of the job each is actually good at, and where the handoff goes.

The split is cleaner than you'd expect. Spreadsheets are good at deciding. Tools are good at collecting. Problems start when either is asked to do the other's job.

Where the spreadsheet wins

Prioritisation with real context. A tool ranks by severity. It doesn't know that the page with three critical issues is being retired next month, or that the "minor" title problem is on your highest-converting page. Effort, ownership, commercial value — all of that lives in columns you add yourself, and no crawler will infer them.

Anything requiring judgement. Is this content thin, or is it a deliberately short reference page that does its job? A crawler applies a word threshold; only you know the intent. Same for whether a "duplicate" title is sloppiness or two legitimately similar products.

Work that doesn't exist yet. Content plans, keyword maps, redirect maps for a migration, who's fixing what by when. A tool reports the present; a spreadsheet is where you write the future. The migration redirect map is the perfect example — that's a spreadsheet job and always will be.

Where the tool wins

Collection at volume. Populating a spreadsheet with the title, meta description, H1 count, canonical, status code and word count of 400 pages is either a crawler's output or a lost weekend. This is the least interesting advantage and the one that decides most cases.

Comparison over time. The genuine capability gap. To know that eleven pages lost their canonical since last month you need last month's state, stored in a comparable form. Completeness you can trust. A manual pass silently skips things — pagination, filter URLs, the section you forgot exists. And you don't know what you skipped, which is worse than knowing your coverage is partial. A crawl that follows links finds the pages you'd have missed, including the ones that shouldn't be there.

The handoff that works

Concretely, the workflow that gets the best of both:

  1. Crawl. Get every page with its raw state. No judgement yet.
  2. Export the exceptions only. Not all 400 rows — the pages with issues above a severity threshold. This is the step people skip, and skipping it is how you get an unusable 1,400-row sheet.
  3. Add your columns. Owner, effort, commercial value, ship-by date. Four columns a crawler cannot fill.
  4. Sort by your own priority, which will differ from the tool's, because yours includes effort and revenue.
  5. Re-crawl after shipping and let the diff verify what closed. Don't tick your own checkboxes — verify against the crawl, because "fixed on staging" and "fixed in production" are different states.

The spreadsheet failure mode

Worth naming, because it's near-universal and it looks like diligence.

Someone builds a genuinely excellent audit sheet. Sixty rows, colour-coded, severity, owner, notes. It's the best artefact in the project. Then the quarter ends, nobody re-collects the data, and the sheet becomes a historical document that everyone still refers to as current.

Six months later, decisions are being made from a snapshot of a site that has had forty deploys since. The sheet's authority is unchanged — it looks exactly as authoritative as the day it was made — and that's precisely the danger. Stale data with a confident format is worse than no data.
